Rental POS software, in depth
A rental point of sale has a harder job than a retail register. A shop register sells an item and forgets it. A rental POS has to hand out a specific bike, board or boat, hold a deposit, collect a signed waiver, know when the unit is due back, and charge the right amount when it comes back late. Ribbe is rental POS software built for that whole loop, for rental shops, tour operators and outfitters that also sell retail and run a service department.
The rental book keeps new tickets, active rentals and returns in one place. Staff scan the unit with any barcode scanner or camera, confirm the waiver, take the deposit and the customer is on their way. Express rental screens are built for the walk-up line on a peak Saturday, and online reservations arrive at the counter already paid and signed, so check-in for a booked customer is a scan and a handover.
On return, the POS shows what is out and what is overdue. Late and overtime fees are applied automatically at check-in according to your rate plan, with prorated charges for extra time, so nobody does math at the counter or argues about the extra hour.
Rentals are priced by time, not by item. Ribbe rate plans cover hourly, daily, multi-day, weekly and seasonal pricing, with add-ons such as helmets, locks, life jackets or damage waivers on the same ticket. Promo codes, group rates, member-only pricing and gift cards apply at the register the same way they do online.
Rentals, tours, retail and add-ons in one transaction. A family can rent four bikes, book a guided ride and buy sunscreen and a water bottle on one ticket and one payment.
Damage waivers and upsells. Offer upgrades, damage waivers and retail add-ons at checkout to raise revenue per visit.
Tours and tickets at the counter. Sell timed tickets and tour seats from the same POS, with capacity checked live against online sales. See tours and tickets.
Ribbe holds security deposits as a card pre-authorization and releases them when the equipment comes back. Reservations and rentals can be secured with a card on file. Customers pay by tap, chip, swipe or contactless, tips can be added at any step, and payments can be split by item or by amount when a group wants separate checks. Payments run through partners including Stripe, Elavon and Verifone, and receipts can be printed or emailed.
Every rental is tied to a customer, a signed waiver and, when you want it, an ID. Digital waivers are sent with the booking confirmation or signed on-site by QR code, with guardian consent for minors and group flows for families, and the signature is stored on the customer profile with an IP, timestamp and version audit trail.
The ID scanner reads a driver's license or passport to fill in the customer details, attaches a photo of the renter to the contract, and can block or flag rentals below an age or license requirement. Repeat no-shows and previously banned renters are flagged before the equipment leaves the building.
Most rental shops also sell parts, gear and merchandise. Ribbe's point of sale sells retail alongside rentals from the same product catalog and inventory, with every SKU and serial number tracked in real time across locations. The repair shop adds work orders, parts and labor, service history and ready-for-pickup alerts, so a tune-up and a rental can be rung up together. Memberships, season passes and multi-visit packages are sold and redeemed at the POS with member pricing applied automatically.
Ribbe runs on Windows, Mac, iOS and Android, on computers, tablets and phones, and the mobile POS takes payments on an iPad or phone anywhere on-site, from the dock to the trailhead. For a fixed counter, Ribbe supports certified POS hardware: touch terminals, Stripe-certified card readers, receipt printers, barcode scanners, cash drawers and self-service kiosks where customers book, sign, pay and pick up without waiting in line.
Staff clock in and out at the POS, and roles and permissions control who can discount, refund or void. End-of-day reports reconcile the cash drawer, tips and card batches automatically, and reporting shows revenue, utilization and top performers by day and location. Because rentals, retail, tours, repairs and online bookings share one system, there is one customer record and one set of numbers, not a booking tool and a separate shop register that never agree.
Plans differ by the number of locations, terminals, kiosks and waivers you need, with no required upfront software cost. See plans and pricing, or read how Ribbe works for bike rental shops and ski rental shops.
Rental POS FAQ
A rental point of sale (rental POS) is a register built for businesses that rent equipment by time. Besides taking payments and selling retail, it assigns a specific unit to each customer, holds a deposit, collects a signed waiver, tracks when the unit is due back and charges overtime on late returns. Ribbe is rental POS software for rental, tour and outfitter businesses.
A retail POS sells an item and closes the sale. A rental POS keeps the transaction open until the equipment comes back: it prices by the hour or day, checks availability against online bookings, holds and releases deposits, stores waivers and ID scans with the rental, and applies late fees at check-in. Ribbe also sells retail, so shops do not need two registers.
Yes. Ribbe holds security deposits as a card pre-authorization and releases them when the rental is returned. Reservations and rentals can also be secured with a card on file, and late and overtime fees are applied automatically at check-in according to your rate plan.
Yes. Walk-ins and online reservations share the same live inventory, so the counter cannot rent out a unit that was booked online. Customers who reserved online usually arrive with their waiver signed and their booking paid, and express rental screens keep the walk-up line moving at peak hours.
Ribbe runs on Windows, Mac, iOS and Android computers, tablets and phones, so you can start with hardware you already own. For a counter setup, Ribbe supports certified touch terminals, Stripe-certified card readers, receipt printers, barcode scanners, cash drawers and self-service kiosks.
Yes. Ribbe sells rentals, tours and timed tickets, retail items and add-ons in one transaction, and the repair shop adds work orders, parts, labor and ready-for-pickup alerts. Memberships, gift cards and member pricing work at the same register.
Ribbe offers Starter, Pro and Multi-Location plans. The main difference is the number of locations, terminals, kiosks and waivers you need. There are no required upfront software costs; pricing is transaction-based with a monthly minimum. Card processing fees are separate. See the pricing page for current rates.
