Motorcycle Rental Software: License, Agreement, Deposit, Miles

Motorcycle rental software has to do two jobs: the paperwork of a car rental (license, signed agreement, deposit held on a card) and the fleet care of a bike shop (serial-numbered units, service by miles, gear in sizes). If you rent cruisers, adventure bikes or scooters by the day and the week, the system should capture the rider's license, put the VIN on the agreement, hold a deposit that covers a dropped bike, add fitted gear to the same order, and tell you when a bike is late or due for service.

This guide walks through that list with a worked example, Pacific Coast Moto in Monterey, a demo shop built in Ribbe. It rents nine models, from a Vespa Primavera 50 to a Honda Gold Wing Tour, sells riding gear with each rental, and runs guided rides along the coast. Prices below are examples, not quotes.

The paperwork a motorcycle rental has to capture

The counter is where a bike rental succeeds or fails. Three things need to be on record: who the rider is and what license they carry, exactly what they are taking (make, model, VIN), and what they agreed to pay if something goes wrong.

License scan at the counter

A driver's license scan fills in the rider's name, address and birth date and attaches the license photo to the rental. Ribbe reads US and Canadian licenses, and the License tab on the customer record keeps the scan for the next visit. The scan does not verify a motorcycle endorsement with a DMV; your staff still read the card.

The motorcycle rental agreement

The motorcycle rental agreement is designed in the Template Designer. Fields for the rider, the dates, the bike's make, model and unit (the VIN sits in the unit's serial field), the deposit amount and your shop's rules fill in from the order, so the agreement for a Harley-Davidson Road King reads differently from one for a Vespa GTS 300 without retyping. The rider signs on the register's pad, on their own phone from a QR code, or on paper that is scanned back, and a copy is emailed.

For the liability waiver, the Waiver Library carries moped and e-scooter waivers plus a general vehicle set you can adapt for motorcycles. They are a starting point, not legal advice; have your attorney review it before the season opens. The ATV and UTV waiver and deposit guide explains how a waiver and a deposit work together, and the digital waivers page shows the signing flow.

Daily, three-day and weekly pricing that handles the late return

Motorcycle rentals price in blocks. A rate plan in Ribbe carries a daily tier, a 3-day tier and a weekly tier, so a Thursday-to-Sunday booking gets the 3-day price with no arithmetic at the counter. Say the Street Glide is $219 a day, $599 for three days and $1,199 for the week; those are example numbers, not a recommendation.

The Extra Day overtime tier is what saves you on Monday morning. When a bike due Sunday at 5 pm rolls in Monday at noon, the Extra Day tier applies automatically when the return is processed; nobody has to remember to add a line. A Seasonal tier handles the rider who wants a Honda Rebel 500 for the whole summer.

Business Rules cover the exceptions you would otherwise write on a sticky note: a minimum of two days on holiday weekends, a higher deposit on the Ducati Scrambler Icon or the BMW R 1250 GS, or a surcharge when the end location differs from the pickup branch. You write the rule yourself, and it applies online and at the register alike. The rider sees the same tiers on the booking page.

Deposits and damage waiver for a dropped bike

A dropped bike at a stoplight is the common claim: a scratched fairing and a bent lever. At pickup the deposit is pre-authorized on the rider's card. At return, staff capture part or all of it, or release it. The release is a staff action, not an automatic one, which is what you want when the bike has not been inspected yet.

A damage waiver product is sold with the rental and priced one of three ways: a fixed amount per rental, per day with a cap on the days charged, or a percent of the rental. Which models it applies to is set on the waiver product, so it can cover the Honda Rebel 500 and the scooters but not the Gold Wing Tour. Repeat riders can keep a card on file. Check with your insurer before you set deposit amounts.

Riding gear on the same order

Wall of rental helmets and armored jackets in sizes beside a row of motorcycles

Most rental riders fly in without a helmet. Pacific Coast Moto lists Full-Face Helmet, Armored Riding Jacket, Riding Gloves, Rain Suit, Saddlebag Set and GPS Mount & Unit as add-ons on each bike's online page and at the register, so the gear lands on the same order as the bike.

When you serialize helmets and jackets, their sizes are tracked as asset sizes (helmets S through XL), and a rider's sizes can be recorded on the customer record for the next visit. Scanning the helmet at check-out ties that specific unit to the rental, so a cracked helmet is matched to the rider who had it.

One-way rides between branches

Touring riders want to pick up in one town and drop in another. In Organization settings, under Locations, the shop allows a different end location. The order then carries an end location, chosen online or at the register, the agreement shows it, and when the bike is checked in at the other branch its home location changes to that branch.

A Business Rule adds the one-way fee when the end location differs, say $150 as an example. Cross-location reports show where the fleet ended up, so you can plan the ride back.

Fleet care by miles, not by guesswork

Each bike is a serial-numbered asset with the VIN in the serial field. Custom fields on the demo track mileage and fuel type. Check-out and check-in happen by scanning the unit's barcode or QR, and the rental book shows what is out, what is due back today, and what is late.

Maintenance plans with an inspection checklist

Service on a motorcycle runs on miles. A maintenance plan can trigger by miles (the odometer reading is typed in at service), by days, or by number of rentals, and it carries a pass/fail inspection checklist: tires, chain, brakes, lights, fluids. A failed inspection parks the bike out of service so it does not get booked. The plan library's "Cars, RVs & vehicles" set is a starting point you edit to your fleet, and repairs run as service work orders against the unit.

Ribbe does not read the odometer from the bike; there is no GPS or telematics. If a bike comes back with 600 extra miles and your agreement charges for them, staff add a line to the order at return.

Guided rides and route packs

The 17-Mile Drive Guided Ride and the Carmel Valley Guided Ride sell as ticket products with departure times, a capacity per departure, and a lead-rider staff requirement that puts the ride on the staff scheduler. A rider books the Street Glide and the ride in the same visit.

The Big Sur Self-Guided Route Pack is a retail item sold alongside the rental, no departure time needed. It goes on the same order and receipt as the bike and the helmet.

Online bookings from riders you have never met

Motorcycle rental booking online means committing a bike to a rider nobody has met. The shop can require staff approval before an online order is confirmed, in Review mode or Blocking mode, so someone checks the booking before a bike is committed to it. A payment link sent by email or SMS collects the balance ahead of pickup, and the rider signs the agreement on their phone first if the shop requires it.

An online booking cap per product keeps a share of each model for walk-up riders, and the online cart holds a chosen bike for a set number of minutes. Abandoned-cart reminders go out to riders who did not finish. The summer rental business checklist covers the rest of the preseason setup.

Which bikes earn and which sit

The fleet usage report shows utilization by group, idle units and per-unit usage, so the decision between a third Road King and a second Triumph Tiger 900 GT Pro rests on days rented. At season's end, fleet sales let you list a bike for sale from the same asset record, online if you want.

Scooter rental software and motorcycle rental software are the same system here: the register, online booking, waivers, payments, fleet and reports share one record. More on the register side in the rental POS system guide, and on the industry page for motorcycle rentals. There is no upfront software cost, and online booking fees are paid by your customers; talk to us about your fleet.

Frequently asked questions

Can we rent one-way between our two branches?

Yes. Turn on "Allow a different end location" under Locations in Organization settings. The order carries the end location, the agreement shows it, and the bike's home location moves to the return branch when it is checked in there. A Business Rule adds the one-way fee.

Does Ribbe bill extra miles automatically?

Not yet. Ribbe does not read the odometer from the bike and does not compute a mileage overage. The odometer reading is typed in at service for maintenance plans, and if your agreement charges for extra miles, staff add a line to the order at return.

Can riders book online without us checking their license first?

You choose. With online approval set to Review or Blocking mode, an online booking waits for a staff check before it is confirmed. The license itself is scanned at pickup; Ribbe does not verify endorsements with a DMV.

How do helmets and jackets get on the order?

As add-ons. Gear such as the Full-Face Helmet and Armored Riding Jacket is offered on the bike's online booking page and at the register, so it sits on the same order as the bike. Serialized gear carries a size and is scanned out.

Does it track service by miles?

Yes. A maintenance plan can trigger by miles, days or rentals, with the odometer reading entered at service and a pass/fail checklist on each inspection. A failed inspection parks the bike out of service.
