Beach Rental Software for Weekly Delivery and Saturday Turnover

Beach rental software has to do one thing that a generic booking tool does not: book chairs, umbrellas, bikes and golf carts by the week against real inventory, take the rental property's address at checkout, and turn a Saturday's worth of drop-offs and collections into truck runs a driver can work from a phone. A beach town rents by the house, and most of the week's work lands in the same six hours on turnover day. Beach equipment rental software should be built around that day.

Two demo shops carry the examples. Island Carts on Isle of Palms rents a Beach Chair & Umbrella Set, a Rolling Cooler (60 qt), Beach Cruisers, Kids Cruisers, a Bike Trailer, a Child Booster Seat and golf carts, all delivered to rental homes by the week, and supplies the booking pages. Boardwalk Bikes in Mission Beach, San Diego, delivers beach cruisers to vacation rentals and supplies the delivery screens. Every price below is an example, not a rate card.

The Saturday cliff

Vacation rentals in most beach towns turn over on Saturday. Every chair set, cruiser and cart that went out last Saturday has to come back, and this week's orders have to be on the porch before the next family pulls in.

That gives a beach chair rental delivery business a shape a downtown bike shop does not have. Collections and deliveries happen in the same window, often at the same addresses, and a driver who makes two trips to one condo has wasted a slot.

Booking by the week against real inventory

Weekly tiers, the Extra Day and the whole-summer rental

Set up the rate plan with a daily tier and a 7-day tier priced as the week, say $45 for a Beach Chair & Umbrella Set as an example. A family that books Saturday to Saturday pays the week. If they stay through Sunday, the Extra Day overtime tier applies automatically when the rental runs over.

For the family that takes the house for the whole summer, a Seasonal tier prices the rental once. Property managers who order for several houses can sit in their own customer group with a price book of their own.

Chairs by quantity, bikes by serial number

Chairs, umbrellas and coolers are quantity inventory. The system counts how many of the shop's 120 chair sets are reserved for any date range. Bikes and golf carts are serialized units with their own numbers, so a specific Beach Cruiser is booked, loaded, delivered and returned.

When a renter picks Saturday to Saturday for the Beach Chair & Umbrella Set, the page shows the week price and offers add-ons such as the Rolling Cooler (60 qt) on the same product page.

Keeping stock for walk-ups

The shop still gets walk-ups and phone orders. An online booking cap on each product limits the website to a number of units or a percent of the fleet, so the site might sell up to 80 of the 120 chair sets while the rest stay for the counter and the phone.

Taking the rental address at checkout

At online checkout the customer types the rental property: the house or condo name, street address, city and zip. A shop that works by zones can have the customer pick a delivery region instead.

Delivery pricing is a product or a fee you set. The Isle of Palms catalog uses a Delivery to Rental Home product, priced at say $25 per order as an example; another shop could use a per-order delivery fee, flat or percent, taxable or not. The module does not compute a fee from distance or zone.

Abandoned-cart reminders go to shoppers who picked their week and left before paying. If you want a person to check that an address is real before the order is confirmed, online orders can require staff approval in Review or Blocking mode. The rental delivery software for vacation rentals post goes deeper on the address and the delivery product.

Building the Saturday runs

By Friday evening the dispatcher has a list of eligible orders for Saturday: last week's collections and this week's deliveries. The Delivery and pickup module (Off, Basic or Full) lists them and adds them to a run with a truck, a driver, a time window and a capacity. Auto-group by region puts each end of the beach on its own truck.

Mixed runs and swap stops

A run can be Delivery, Pickup or Mixed. On turnover day most runs are Mixed, and the module groups stops by address: when a collection and a delivery fall at the same house, they become one swap stop. The driver collects last week's cruisers and leaves this week's in a single visit.

Inside a run, the Stops and orders view lists each address once, with the orders that deliver and the orders that collect there underneath it, each tagged Deliver or Collect.

Route, assign and load

Drag to reorder the stops, or press Optimize to order them from the depot. The route map shows the day's stops as numbered pins, and each stop opens in Google Maps, Apple Maps or Waze on the driver's phone.

Before the truck leaves, assign the specific unit per line, say bike 14 for the Beach Cruiser at stop 3. Load truck ticks each item as it goes on, by barcode scanner, and takes a photo of the packed truck. Loading is last in, first out, so the first stop's items sit at the tailgate.

Runs sit on the employee scheduler and in Day, Week and Month calendar views. A standard Saturday can be saved as a run template, and this week's runs can be copied to next week. Runs sync one way to Google Calendar, and a Run manifest (driver sheet) report prints.

Proving the hand-over on the driver's phone

The driver logs into the driver app on a phone with a username and password. No register is needed. Today's runs and stops appear in order with the renter's name, phone, address and items, plus a navigation link for each stop.

At the porch, Record delivery takes photos and the customer's signature on a Delivery Note, which is emailed to the renter. The Collect flow works the same way and produces a Pickup Receipt. If a Bike Trailer did not fit on the truck, the driver records a partial delivery with a reason.

While the run is out, the dispatcher's map shows the live GPS position of the driver's phone, and the driver and dispatcher can chat inside the app. The renter does not get a live tracking link. What they get is an on-the-way ETA message by email or SMS when the run is dispatched. Two options help: auto-start the rental when it is delivered and auto-stop it when it is collected.

Waivers signed before the truck arrives

Bikes and golf carts need a signed waiver, and a porch on Saturday afternoon is a poor place to collect one. The booking link lets the renter sign the waiver on their own phone. The signed copy is stored on the order and the customer record with a signing record: time, signer name and document hash.

The Waiver Library includes bike and golf cart waivers that import into the Template Designer and edit like any template; have your attorney review it before you use it. With age verification turned on, the signer's birth date is required and a minor's waiver on a Kids Cruiser must be signed by a parent or guardian, whose name is recorded. The golf cart rental agreement post covers the cart contract.

Walk-ups at the shop and a second location

An express rental screen handles the hourly walk-up for a Beach Cruiser, with hourly tiers on the same rate plan, and check-out is a scan of the unit's barcode. A kiosk on a tablet lets a walk-up start the order alone.

A second shop up the beach runs as a second location with its own inventory. Units transfer between locations, reports run across both, and a cruiser rented at one shop can be returned at the other when you allow a different end location. The summer rental business checklist covers the preseason work, and the golf cart rentals page covers the cart fleet. There is no upfront software cost, online booking fees are paid by your customers, and you can talk to us about the rest.

Frequently asked questions

Can one truck collect last week's bikes and drop this week's at the same house?

Yes. Put both orders on a Mixed run. Stops are grouped by address, so the collection and the delivery at the same house become one swap stop.

How does the renter know when we are coming?

When the run is dispatched, the renter gets an on-the-way ETA message by email or SMS. A customer-facing live tracking link is not in Ribbe; the live GPS position shows only on the dispatcher's map, and there is no message when the truck is a set number of minutes away.

Can renters sign the waiver before they arrive?

Yes. The booking link opens the waiver on the renter's own phone, so a bike or cart waiver can be signed days before the delivery. The signed copy and its signing record are stored on the order and the customer record.

Can we keep some chairs for walk-ups?

Yes. Set an online booking cap on the product, as a number of units or a percent of the fleet, and the website stops selling there while the counter still can.

Does the driver need a register?

No. The driver app runs on a phone with a username and password. It shows today's runs and stops, opens navigation, and records deliveries and collections with photos and signatures.
