Boat Rental Software for Pontoons, Wake Boats and Sunset Cruises

Boat rental software for a pontoon and wake boat fleet has four jobs: sell the morning and afternoon blocks without double-booking a hull, get the renter's license and signature before anyone touches the keys, hold a card deposit large enough to cover a prop or a gel-coat repair, and keep every engine on its service schedule. A boat rental booking system that does only the first job leaves the expensive part of the business on paper.

The worked example is Bluewater Boats, a demo shop on Lake Havasu. Its fleet is a Bennington 22 Pontoon, a Sun Tracker 20 Pontoon, a Tritoon 24, a Sea-Doo Switch, a Deck Boat SDX 250, a Yamaha AR195 jet boat, a Mastercraft X24 wake boat and a Fishing Boat. The add-ons are a Tube, Wakeboard, Water Skis, Lily Pad, Cooler and GPS Fish Finder, and two ticketed trips, a Sunset Cruise and a Topock Gorge Tour, run alongside the rentals. Every price below is an example, not a quote.

Fill the morning and afternoon blocks

Most lake operators sell three blocks a day: a morning half day, an afternoon half day and a full day. On a Ribbe rate plan those are tiers, for example 8 to 12, 1 to 5 and full day, and each boat class points at the plan that fits it. Say the Bennington 22 Pontoon rents for $275 for a half day and $450 for a full day, while the Mastercraft X24 wake boat is $525 and $850. Those are example figures; set your own.

The plan also carries overtime tiers. An Extra Hour tier applies automatically when a boat booked for the morning block comes back at 1:30, so the late charge is on the order before the renter reaches the counter. Weekly tiers cover a week-long pontoon rental, and a Seasonal tier handles a whole-season lease of the Fishing Boat to a guide.

Rules instead of sticky notes

Business Rules let an operator write the policies that otherwise live on a sticky note by the register. A rule can require a higher deposit on weekends and holiday weekends, set a two-day minimum over the Fourth of July, or change the price by lead time. The rules apply at the register and online alike.

What the renter sees online

On the booking page the renter picks a date and sees the half-day and full-day tiers with live availability for that boat. Add-ons such as the Tube, Wakeboard, Water Skis, Lily Pad, Cooler and GPS Fish Finder sit on the boat's page as extras in the same checkout. The online cart holds the chosen unit for a set number of minutes while the renter finishes.

Keep boats for walk-ups and phone calls

A pontoon rental software setup that puts the entire fleet online leaves nothing for the family that walks down the dock at 9 a.m. The online booking cap limits the website to a number of units or a percent of the fleet per product, say two of the four pontoons, so the counter still has stock to sell. Online orders can also be held for staff approval in Review or Blocking mode before they are confirmed.

License and signature before the keys

The renter's license goes first. At the counter a driver's license scan fills in the customer's name, address and birth date and attaches the license photo to the rental, for US and Canadian licenses.

The rental agreement and waiver come next. A boat rental contract is designed once in the Template Designer with order, customer and unit fields that fill in on their own, so the agreement names the Tritoon 24 and its serial number rather than a blank line. The renter signs on the register's signature pad, on their own phone from a QR code at the counter or on the receipt, on a Topaz pad, or on paper that is scanned back. The signed copy is stored on the order and the customer record with the time, signer name and document hash, and a copy is emailed to the renter.

Start from the library

The Waiver Library includes a boat rental waiver and a separate tubing waiver. Import either into the Template Designer, edit it like any template, and have your attorney review it before the season; the library is a starting point, not legal advice. If the shop turns on age verification, the signer's birth date is required and a minor's waiver is routed to a parent or guardian, whose name is recorded. The post on jet ski waiver agreements covers what belongs in the document itself.

A deposit that covers a prop

A security deposit on a boat has to cover real money: a prop, a lower unit, a gel-coat gouge from a dock piling. At pickup, staff pre-authorize the deposit on the renter's card through Stripe, say $500 on a pontoon and $1,000 on the wake boat as examples. Nothing is charged at that point.

At return, staff decide. They release the hold, capture part of it for a scuffed fender or the fuel the renter did not replace, or capture all of it. The release is a staff action, not an automatic one. Fuel is a line staff add to the order from the gauge they read; the software does not read the tank.

Damage waiver, deposit, or both

Many operators sell a damage waiver alongside the rental. In Ribbe the waiver is a product with its own pricing: a fixed amount per rental, a per-day amount with a cap on the number of days charged, or a percent of the rental price. Which boats it applies to is ticked on the waiver product, so a waiver that covers the pontoons but not the Mastercraft X24 wake boat is a setting, not a reminder to staff. A shop can sell the waiver and still hold a smaller deposit; the payments overview covers the card readers and tenders.

Check-out, check-in and the inspection checklist

Check-out is a scan. Each boat carries a barcode or QR label, and staff scan it with a scanner or the phone's camera to put that exact unit on the order. The rental book shows what is on the water, what is expected back at noon and what is late, so the afternoon crew knows which pontoon is still out.

Check-in is a scan plus a checklist. A maintenance plan of kind inspection runs after every rental, or every N rentals, with pass/fail items: hull, prop, navigation lights, life jacket count, fire extinguisher, anchor and line. A failed item parks the boat out of service until someone clears it, so a pontoon with a bent prop cannot land on the next order by mistake. The Boats & watercraft set in the plan library is a starting point.

Engine service runs on the same system. A service plan can come due by days or by rental hours, meaning time on rent, and staff type in the engine hours when they do the service. Ribbe does not read a meter; the hours value is whatever the mechanic enters.

Sunset cruises and tours as tickets

A Sunset Cruise is not a rental, it is a ticket. In Ribbe a ticket product carries booking options: departure time, duration, capacity and a deposit per option, so the 6:30 departure can take ten guests with a $25 example deposit each while the Topock Gorge Tour runs a longer 2 p.m. slot with its own capacity.

A captain or crew requirement on the option puts the departure on the staff scheduler. Pre-trip reminders and balance-due reminders go to the guests by email or SMS.

The season at a glance

The bookings calendar shows the fleet's morning and afternoon blocks by day, so a manager sees the open Saturday afternoon on the Tritoon 24 and the Sunday the Fishing Boat is out all day. A payment link sent by email or SMS lets a renter pay the balance, or the deposit on a big group booking, from their phone, and can require the waiver signature first.

At season's end the fleet usage report shows utilization by model and the units that sat idle, the input to the retire-or-buy decision on the second pontoon. A boat the shop decides to sell is listed from the same asset record, online if wanted, through fleet sales. For the rest of the pre-season work, the summer rental business checklist is the longer list; for slips and dock space, see the post on marina reservation software.

Frequently asked questions

How does the deposit work on a boat rental?

Staff pre-authorize the deposit on the renter's card at pickup through Stripe. At return they release the hold, capture part of it, or capture all of it for damage or unreplaced fuel. The release is a staff action; Ribbe does not release deposits automatically.

Can we charge a damage waiver instead of a deposit?

Yes. The damage waiver is a product sold with the rental, priced as a fixed amount, per day with a cap on days charged, or as a percent of the rental, and you tick which boats it applies to. Many shops sell the waiver and still hold a smaller deposit.

Does Ribbe track engine hours or fuel?

Not in Ribbe. There is no meter or fuel sensor integration. Engine hours are typed in by staff when a service is recorded against the plan, and fuel is a line item staff add to the order based on the gauge at return.

Can customers book a half day online and we approve it before it is confirmed?

Yes. Online orders can be held for staff approval in Review or Blocking mode, so the booking waits until someone at the shop confirms it.

How do we run our sunset cruise in the same system?

Set it up as a ticket product with booking options for departure time, duration, capacity and deposit. A captain requirement puts the departure on the staff scheduler, the manifest shows guests, balance due and waiver status, and pre-trip and balance-due reminders go out by email or SMS.
