Tool Rental Software for Small Yards: Rates, Accounts, Service

Tool rental software for a small equipment yard has to do three things well: price a rental by the clock (four hours, a day, a week, a month, plus overtime when a machine comes back late), let contractors rent on account with an invoice and a monthly statement instead of a card, and keep every machine on a service and inspection schedule. Most equipment rental software for small business does one of the three, and the construction season is when the other two bite.

This guide walks through each side using Ironworks Equipment Rental, a demo yard in Phoenix running Ribbe. Its fleet is the usual mix: a Kubota KX040-4 Mini Excavator and a Bobcat E35 Mini Excavator, a Bobcat S66 Skid Steer, a JLG 1932R Scissor Lift and a JLG T350 Towable Boom Lift, a 25 kW Towable Generator, and a 20 ft Equipment Trailer to move it all. Prices below are examples, not quotes.

Pricing that follows the clock

An equipment rental is priced by time, and time is messy. A homeowner wants a Plate Compactor for the morning. A landscaper takes the Walk-Behind Trencher for the day and brings it back two hours late. One rate card has to cover all of it without arithmetic at the counter.

Four-hour, daily, weekly and monthly tiers

In Ribbe, each machine is attached to a rate plan with tiers. Ironworks uses a 4-hour, daily, weekly and monthly tier on the big iron, and 4-hour and daily tiers on hand tools. Say the Kubota KX040-4 Mini Excavator is $295 for four hours, $395 a day, $1,250 a week and $3,400 a month. The register picks the tier from the dates on the order and pro-rates between tiers, so a nine-day rental is a week plus two days, not two weeks.

Each plan also carries Extra Hour, Extra Day and Extra Week tiers that apply automatically when the unit is checked in after the agreed return time. A Walk-Behind Concrete Saw rented for the day and returned two hours late picks up two Extra Hour charges at check-in. Nobody has to remember the late rate.

Contractor rate versus retail rate

A contractor who rents the Bobcat S66 Skid Steer every other week should not pay the weekend homeowner's rate, and the counter should not apply a discount by hand. Price books per customer group handle this: a Contractor price book with lower daily and weekly tiers, a Retail price book for walk-ins, and the customer's group decides which applies, at the register and online alike.

Business Rules cover the exceptions: weekend rentals on trailers need a higher deposit, holiday weekends carry a two-day minimum on the lifts, rentals booked more than two weeks ahead earn a discount. The operator writes the rule in settings, no developer involved.

The same tiers show on the booking site. A contractor pricing a job at night sees the Kubota KX040-4 Mini Excavator's availability and weekly price and books it; the order waits for staff approval before it is confirmed. More on the online side is on the equipment rentals page.

Contractors on account and rental invoicing

The second side is money. A plumbing contractor does not want to hand a foreman a company card for every Core Drill Rig; the contractor wants an account, a monthly statement, and an invoice number that matches their purchase order. Rental invoicing is where general-purpose point-of-sale software gives up.

In Ribbe a customer can be allowed to rent on account, as the yard's default or per customer. When the counter closes a rental to the account, it posts as an invoice with its own number from the yard's series; the order number stays on the invoice as the reference. Month-end statements go out, and a receivables aging report shows who is current and who is 30 or 60 days out.

Collecting is built in. Overdue reminders go by email or SMS with a payment link, so the contractor's office pays the balance from a phone or a desk, and a card kept on file lets staff charge an agreed balance without calling for the number. Manual charges, credit memos and write-offs cover the rest.

All of it shows on the contractor's customer record under the Store credit and account tab: open invoices, payments, the running balance and statements sent. Card and on-account tenders are detailed on the payments page.

Machines that earn their service by the hour

The third side is the fleet. A scissor lift that fails on a job site costs a day of revenue and a customer's trust. Construction equipment rental software has to know each machine individually and drive service from use, not only from the calendar.

One record per machine

Each Ironworks machine is an asset with a serial number, make, model, purchase date and custom fields. A barcode or QR tag on the frame is scanned at check-out and check-in, so the rental book always shows what is out, what is due today and what is late. With two yards, inventory is per location and a transfer moves the JLG T350 Towable Boom Lift between them.

Inspection before every rental, service by rental hours

Maintenance plans run on four counters: days, rentals, rental hours (time on rent) or miles, with the odometer typed in at service. Ironworks puts the JLG 1932R Scissor Lift on an inspection plan that fires every rental with a pass/fail checklist: guardrails, pothole guards, emergency lowering, tires. A failed item parks the lift out of service until the fix is recorded. The 25 kW Towable Generator sits on a 250-rental-hour oil change plan.

The plan library ships a Tools and construction equipment set to import and edit rather than write from scratch. Repairs that come out of a failed inspection or a damaged return become service work orders with parts and labor, and the service calendar shows what is in the bay this week. See the repairs and service page.

Delivery by trailer

Half of a yard's heavy rentals never see the counter. The Bobcat E35 Mini Excavator goes out on the 20 ft Equipment Trailer to a job site, and the customer wants a window and proof of arrival. Ironworks sells Delivery & Pickup (each way) as a priced line, say $95 each way inside the metro, with the delivery address on the order.

The delivery module has three levels, Off, Basic and Full, so a one-truck yard can start small. At Full, dispatch builds runs by truck and trailer with a time window, stops grouped by job site, and a load-truck checklist so the Trencher Teeth on the order ride along with the trencher. The driver app collects a signed Delivery Note and photos at drop-off and a pickup receipt on collection, the evidence you want when a scratch becomes a dispute. The delivery software post covers runs and route optimization.

Weekend homeowners: deposits, waivers and the counter

Saturday morning at Ironworks is homeowners: a 4000 PSI Pressure Washer, the Stump Grinder, a Jumping Jack Rammer for a fence project. They pay by card and need to be set up in minutes.

A driver's license scan fills in the customer's details and attaches the license photo. A security deposit is pre-authorized on the card at pickup and captured or released by staff at return. The damage waiver product, priced fixed, per day with a cap, or as a percent of the rental, is ticked onto the machines it covers, so it is offered on the Stump Grinder and not on the Safety Glasses.

The rental agreement is built in the Template Designer and signed on the customer's phone from a QR code, on the register's signature pad, or on paper scanned back. The Waiver Library includes equipment and tools waivers as a starting point; have your attorney review it. Consumables sell on the same order: a 14 in Diamond Blade with the saw, a Propane Cylinder Exchange. The counter workflow is in the rental POS system guide.

Knowing what to buy, sell and teach

Winter is when a yard decides what the fleet looks like for the season. The fleet usage report shows utilization by class, idle units and per-unit usage, so the add-or-sell decision rests on the yard's own numbers. A machine chosen for sale is listed from the same asset record, online if wanted.

Ironworks runs a Skid Steer Operator Class and an Aerial Lift Operator Certification as course products with seats and a roster, sold at the register and online. On completion the certification is recorded on the customer's Training tab, so the counter sees it at the next lift rental. Ribbe records the yard's own certification; it does not verify credentials with OSHA or a third party.

Quotes for larger jobs are unpaid orders that hold the pricing and convert when paid or checked out. For a yard-wide readiness list, see the summer rental business checklist.

Frequently asked questions

Can contractors rent on account and get a monthly statement?

Yes. A customer allowed to rent on account has each rental post as an invoice with its own number. The office runs statements at month end, watches the receivables aging, sends overdue reminders by email or SMS, and includes a payment link so the contractor's office can pay online.

How does overtime work when a saw comes back two hours late?

The rate plan's Extra Hour tier is applied at check-in for the time past the agreed return. Two hours late on a daily rental adds two Extra Hour charges; a full day late adds the Extra Day tier instead.

Does Ribbe read the hour meter on a machine?

No, not in Ribbe. There is no telematics or engine hour meter connection. Service plans run on rental hours (time on rent), days, rental count, or miles typed in at service. A technician can enter a reading at service.

Can we inspect a lift before every rental?

Yes. Put the lift on an inspection plan that fires every rental, with a pass/fail checklist for the items your technician checks. A failed item parks the unit out of service until the repair is recorded, and the repair becomes a service work order with parts and labor.

Can we sell blades and propane at the counter?

Yes. Consumables such as a 14 in Diamond Blade, Trencher Teeth, Safety Glasses and a Propane Cylinder Exchange are retail products sold on the same order as the rental, at the register or as add-ons online.
