Kayak Rental Software for the Dock, the Website and the Tour

Kayak rental software has one job on a July Saturday: get a line of walk-up paddlers onto the water fast, with a signed waiver for each one, and still have boats on the rack when the 10 a.m. crowd arrives after the website sold all night. The same system has to take the hourly returns that pile up at once, charge the paddler who came back forty minutes late, and put a guide on the sunset tour. This guide covers what to look for in kayak and paddleboard rental software, with one shop as the worked example.

The worked example is Ladybird Paddle, a demo shop in Austin that rents a Single Sit-On-Top Kayak, Tandem Sit-On-Top Kayak, Kids Kayak, Pedal Kayak, All-Round Paddleboard, Touring Paddleboard, a Mega SUP for six paddlers and a three-seat Canoe. It runs a Sunset Bat Bridge Tour, teaches a SUP Intro Lesson and a Kayak Basics Lesson, sells a Paddle Pass of ten paddles, and keeps a small retail shelf. The screenshots below come from that shop.

What a paddle outfit's day asks of the software

A kayak or SUP rental runs on a short, loud season, and on the good-weather days the dock is busy from open to close. The software has to be quick enough that a seasonal hire can rent a boat in under a minute, and run on a phone when the counter is a trailer.

Three things separate a paddle shop from a general rental business. Rentals are hourly, so a return that is twenty minutes late matters. Every person who touches the water signs a waiver, not only the one paying. And the website and the dock sell from the same rack, so a sold-out website on a sunny morning can starve the walk-up line that pays the bills.

Hourly rentals at the dock

Hourly tiers and the Extra Hour

Rate plans in Ribbe have hourly tiers, so the Single Sit-On-Top Kayak can carry a 1-hour tier and a 2-hour tier, with half-day and full-day tiers for the Touring Paddleboard and the Canoe. Say, as an example, $18 for the first hour and $30 for two hours. The Extra Hour overtime tier is part of the same plan: when the paddler comes back late, check-in applies it automatically and the staff member sees the amount owed.

A Business Rule, written by the owner without a developer, can raise the hourly rate on Saturdays and Sundays or require a two-hour minimum on holiday weekends. The rule applies at the register and online alike, so the two prices never disagree.

Check-out and check-in by scan

Every kayak and board at Ladybird Paddle is a serial-numbered asset with a type, a class and a barcode or QR tag. The express rental screen is built for the line: pick the boat type, scan or pick the unit, take the payment, and the waiver QR prints on the receipt or sits on the counter. The customer signs on their own phone while the next person is served.

At return, staff scan the tag and the rental closes, with the Extra Hour added if the clock ran over. A phone's camera can act as the scanner. The rental book shows what is out, what is due back and what is late, and late return notifications go out automatically.

Keep the website from selling the walk-ups' boats

Taking reservations is the easy part of kayak rental booking. The hard part is the morning after the website sold every single kayak for 10 a.m., with twelve people standing at the dock with cash. Ribbe handles this with a per-product online booking cap: the website can sell at most N units, or a percent of the fleet, and the rest stays for the dock.

Ladybird Paddle has 15 Single Sit-On-Top Kayaks and lets the website sell at most 6 of them. The cap is counted as the peak of online bookings over the whole rental window, not per time slot, so a wall of overlapping two-hour bookings cannot push past it.

The Bookings view ties the two channels together. Online reservations, dock rentals and tour departures show in one calendar and list, so the person opening the shop knows which boats are promised before the first walk-up arrives.

A waiver for every paddler

A party of eight books one Tandem, two Singles, a Kids Kayak and three paddleboards on one order. Ribbe treats that as one reservation with eight waivers. One link or one QR code goes to the party, and each paddler signs on their own phone. The signed copies are stored on the order and on each customer record with a signing record: time, signer name and document hash.

Age verification, when the shop turns it on, requires a birth date from every signer and routes a minor's waiver to a parent or guardian, whose name is recorded. The Waiver Library has kayak and paddleboard waivers that import into the Template Designer and edit like any other template. Have your attorney review the wording before you use it, and ask your insurer what they require.

Check-in forms run the same way on the phone from a QR code, and rules on the form can add the right rental lines to the order before the party reaches the counter. The digital waivers page describes the other signing options, including the register's signature pad and paper that is scanned back.

The Sunset Bat Bridge Tour as a ticket

The Sunset Bat Bridge Tour is a ticket product. Its booking option carries a time slot, a duration, a capacity and an availability window, so the 7 p.m. departure sells seats until it is full and does not sell in the months the bats are gone. Staff requirements, say one guide per six guests as an example, put the slot on the staff scheduler as soon as the first seat sells.

The manifest for each departure lists who is going, what they still owe and whether their waiver is signed, so the guide checks it on a phone at the put-in. The tours and tickets page covers the ticketing side, including shared capacity between options.

Lessons as courses

The SUP Intro Lesson and the Kayak Basics Lesson run as courses rather than rentals. Each sells as seats, the roster fills from bookings, and the instructor signs off skills on a checklist at the end of the session.

Regulars, retail and add-ons

A lake shop lives on locals who paddle every week. The Paddle Pass - 10 Paddles is a punch card sold at the register and online, tied to the customer. When a covered rental is rung up, a punch is used automatically. The balance shows on the customer record and in the register's customer tab, and the shop can see every card issued, who holds it and how many punches are left.

Retail rings up on the same ticket as the rental. Dry Bag 10L, Reef-Safe Sunscreen SPF 50 and the Dog Life Jacket sit on the shelf and on the register, and the online page for a kayak can offer add-ons such as the Dog Life Jacket, a Roof Rack Kit or a Cooler during checkout. For the register side in general, see the rental POS system guide.

Fleet care and the end-of-season call

Sun, sand and rental hours wear boats out. Maintenance plans schedule inspections by rentals or by days, with a pass/fail checklist per inspection, and the plan library has a Kayak, SUP & paddle set to start from. A board that fails its inspection can be parked out of service.

At the end of the season the fleet usage report answers the question every owner asks in October: which boats paid for themselves. Utilization by group shows whether the Pedal Kayaks ran all summer while the Canoe sat on the rack, and the idle-units table and per-unit usage back the retire-or-buy decision. Boards the shop retires can be sold from the same asset record, online if wanted, through fleet sales.

A second launch point gets its own inventory, with transfers between locations and reports across both. For river trips, the shop can allow a different end location, so a boat put in upriver and taken out downriver changes location when it is returned. Ribbe does not schedule the shuttle itself; that stays on the whiteboard.

Getting ready for the coming season

The sequence that works: load the fleet as serial-numbered units with tags, build the rate plans with overtime tiers, set the online cap per product, import the waivers and have your attorney review them, then publish the booking page or widget. The summer rental business checklist covers the remaining preseason work, and the kayak and SUP rentals page shows how other paddle shops are set up.

There is no upfront software cost. Online booking fees are paid by your customers, and for anything else about pricing, talk to us.

Frequently asked questions

Can walk-up customers still rent when the website shows sold out?

Yes, when the product has an online booking cap. The website sells up to the cap, say 6 of 15 singles, and the remaining units are only rentable at the register. Sold out online means the online share is gone, not the rack.

Does every paddler in a group have to sign?

Yes. One order carries a waiver per paddler, one link or QR goes to the party, and each person signs on their own phone. With age verification on, a minor's waiver is routed to a parent or guardian.

Can we charge for the extra 20 minutes?

The Extra Hour overtime tier is applied at check-in when the rental runs past its paid time. How a partial hour rounds is up to the overtime tier you define in the rate plan, so a 20-minute overrun is billed the way your tier says.

Does Ribbe close bookings when the wind picks up?

Not yet. There is no weather or water-level rule in Ribbe, and bookings do not close themselves. When conditions turn, staff cancel or move the affected bookings by hand from the Bookings view.

Can a tour guide see who signed?

Yes. The trip manifest for each departure shows every guest with their balance and waiver status, so the guide can check it on a phone at the put-in before the boats leave.
